March 15, 2015 NIBGA board meeting

Northern Indiana Bluegrass Association Orientation Meeting at South West Conservation Club, Bluffton Road, Fort Wayne, Indiana

  • The meeting was called to order by  President Jim Winger at  12:50 p.m.



  •    Officers present are:                            Board Directors:

     Treasurer - Linda Winger
 Others present are: Past Vice President - Sandra Carnes; Christine Steiner - Festival workshop Chair & Taxi Chair;  Jeanette Young - Vendor Chair & Merchandise/Membership table. Brenda & Greg Aldrich - Co Gate Captains; Jim Miller - Co Gate Captain; Joe Wyandt (past board director).


  • Secretary's report - Barbara Collins emailed the February 15th minutes to all on February 22, 2015.  Paul Saurborn motioned to accept. Joe Steiner seconded. All say yes. Motion carried.
  • Treasurer's report - Linda Winger emailed February financials to all on 3/11/2015. Financials were reviewed and discussed. T J Collins motined to accept. Paul Saurborn seconded. All say yes. Motion carried.


 INFORMATION ITEMS

  • Grants: George Miller contacted Jim Winger and said, "I have spent time on their website (gov/arts). While the application deadline is not until March 13, applicants were required to submit letters of intent to apply by January 9. So we missed jumping through that hoop. Good to keep in mind for next year though."  George has been working on finding grant possibilities for NIBGA. 


OLD BUSINESS

  • Jim Winger was told that the board agreed to not use COX Media Promotional Company for advertising. Jim then notified Cox Media. 
  • Band Hiring update - Joe Steiner; Joe shared the list of bands he has hired and ones still under consideration or waiting to confirm. There was discussion on bands and Joe will be continuing to work on the line up.  The band schedule will be finalized and discussed again at the April meeting. 
  • Chris Steiner discussed the Ebay usage and the hits. She reports there were at least 340 hits. Chris will continue to watch Ebay and report. Chris will try using the Sellers Account on Amazon. Jim Winger explained how and why it is a good way to do on line purchases. Use the NIBGA Amazon site and receive refunds. 
  • Scholarships - Barbara Collins reports no Scholarship activity as of now. Linda Winger - Treasurer, has sent the $1,000 2015 Scholarship to Suzuki music school in Fort Wayne, IN
  • Jim Winger ask the officers to review the suggestions that Dennis Narker sent to the board. Dennis submitted several good suggestions that could be possibilities to increase local attendance to the NIBGA festivals at the Noble County Fairgrounds. 

NEW BUSINESS

  • Vendor Chairman - Jeanette Young gave update on vendors for the spring festival. The food stand that Bonnie used to run will be a Full Service Food Stand run by a Kendallville Church. Other vendors so far are Children's Toys, Mexican Food Stand, Ice Cream Stand, Maison's  (Lion's) Food Stand. Jeanette is in contact with several other vendors and trying to get more.
  • Joe Steiner - Nursing Home Band. The band that will be performing at the Avilla Nursing Home during the Spring festival will be Trinity River. A band for the fall has not been scheduled yet.
  • Festival fliers need printed and mailed. 
  • Facebook and Google ads need created and scheduled. 
  • Stage Manager; Due to Gloria's health, Bill Merrill will not be chairman for the festival stage announcers. Chris Vogie has offered to be the Stage Manager. All say yes. 
  • Music Workshops for Spring and Fall. Christine Steiner reports. Chris suggested splitting up the workshops by having 6 for Spring and 6 for Fall. She suggest eliminating the mini workshops and go to more advanced workshops. Cost would be $300 paid to teachers/directors plus  week end festival tickets. The board agreed to the suggestion.
    Chris recommends:
    Spring::: Bluegrass Jam (Bilby's), Guitar, Bluegrass Banjo, Claw hammer Banjo, Mountain Dulcimer, Dancing )to be finalized yet).

    Fall::: Guitar, Bluegrass Banjo, Claw hammer Banjo, Dancing (to be finalized yet), and others "To Be Announced". (Working on Mandolin and Fiddle). Christine Steiner will put information on the workshops in the April newsletter.

    On Friday and/or Saturday evenings there will be a open jam at the stage area after the last band performance.  (This will replace the BUG)


  • Merchandise at the festivals. Jeanette Young and Louise Mclouth will be co-chair for the Merchandise and Membership tables for 2015. 
  • Jim Winger shared a copy of the Backstage Country Style newspaper now being published by Dave Crabill due to the passing of long time owner and publisher Jim Egoff. Jim E. was a long time supporter of Northern Indiana Bluegrass Association. 
  • TABLE:  Confirm list of how many Golf Carts we need for festival and who will be needing use of them. 
  • There was discussion on possibilities of setting up for pre-buy festival passes. The board will work on a system of setting up but do not have details in place yet. 
  • There was also discussion on possibility of starting use of credit/debit card machine at the Merchandise/Membership table during the festivals. Chris will look into details of what is needed to use SQUARE. Possibily extend to the gate if it works out well.
    (Later it was decided that it is not practical for use at the gate at this time. Many would not know how to do or have the phone to use it with. Also it would hold up the line at the gate considerably when there is a heavy traffic flow.) 
  • Paul Saurborn motioned to adjourn. T J Collins seconded. President Jim Winger adjourned the meeting at 2:15 p.m.


The next meeting of Northern Indiana Bluegrass Association will be April 19, 2015.

NIBGA Board meeting Feb. 15, 2015

Northern Indiana Bluegrass Assoc. Board Meeting at SW Conservation Club, Fort Wayne, Indiana

The meeting was called to order by Vice-President Joe Steiner at 12:45 p.m.

Officers present are:                              Board Directors:

President Jim Winger and Treasurer Linda Winger were absent due to a family funeral. They stopped in but were not able to stay for the business meeting.

Others present are: Past Vice Pres. Sandra Carnes: Chris Steiner-Workshop & Taxi Chair: Brenda & Greg Aldrich-Co gate captains: Jim Miller-Co gate captain.


  • Secretary's report-Barbara Collins emailed the January 18th meeting minutes to all on Jan 20th. President Jim Winger posted them on the NIBGA Blog. Paul Saurborn motioned to accept. Pam Keiper seconded. All say yes. Motion carried.


  • Treasurer's report- Financials for January 2015 were emailed Feburary 6, 2015 by Linda Winger to all officers. Totals are as of 1/13/15/. Pam Keiper motioned to accept. Paul Saurborn seconded. All say yes. Motion carried.

INFORMATION ITEMS

  • Grants::: Chris Steiner reports that George Miller is actively working on Grants for Northern Indiana Bluegrass Assoc.

OLD BUSINESS

  • Cox Media Promotion Company has submitted a proposal for advertising. There are many different options for WEB site adds. The deals and prices were reviewed and discussed by the Board. After lengthy discussion it was decided that we do not choose to use advertising by Cox. It is expensive and high risk for any results for the club. Vice President-Joe Steiner recommended staying with E-Bay. All agreed.
  • Chris Steiner has put together a ticket DEAL and posted on E-Bay a week long Family packet for a $110. Chris posted pictures of the NIBGA festival and information. There have been 303 who have seen this offer on line. Five people are watching the results. This will be posted for 30 days. Chris is also considering a second packet for a week end for $70.00. All agree it is a good packet deal.
  • Jim Miller suggested we do more advertising in Illinois. Joe Steiner purposed $1,000 per festival. Greg Aldrich says, "Send information to Illinois Newsletters and Associations to advertise". The board re-addressed Illinois advertising and adjusted the amount to spend. Paul Saurborn motioned to spend $500 per festival on Illinois advertising. TJ Collins seconded. all say yes. Motion carried. 
  • Joe Steiner will continue with Google and Facebook postings. 
  • Band Hiring update-Joe Steiner: Beginning to hire bands. Working continually on remaining line up. 
  • Band Scramble 2015 - Secretary Barbara Collins contacted Tonia Bacon to confirm her being chairman for festivals this year. Tonia confirmed she will chair the Band Scrambles. 
  • Green Room Host: Richard and Carolyn Bacon have confirmed to Secretary Barbara Collins that they will do the 'Band Hospitality Room' for the 2015 festivals. 
  • The revised band schedule for Spring 2015 Festival was e-mailed to all officers by V.P. Joe Steiner. It was reviewed at the meeting, discussed and decided to eliminate the first show on Saturday and start a little later than the original time of 10:30 a.m.. It was suggested we start the show on Sat at 11:15 or 11:30. Pam Keiper motioned to eliminate the first show on the schedule and adjust the time. Paul Saurborn seconded. All say yes. Motion carried.


NEW BUSINESS

  • In reply to a request for suggestions on "How to attract new campers", a letter was sent in. Suggestions to improve bathrooms was one. A reply was returned explaining that the Noble Co. Fairgrounds 'Is Not a campground'. It is maintained by the Noble Co. Fair board & volunteers. Even though NIBGA has rented and used the fairgrounds twice a year since 1990, we are not responsible for basic maintenance. Our association has donated money for improvements and have made request for many improvements. Some have happened, some have not. Also there are several other large events that take place on the grounds yearly and those cause wear and tear to the grounds. Tim Addis of NCCFB said, "We will spruce up the rest rooms". 
  • There was a long discussion among the board about vendors for the festivals. Vendor Chair Jeanette Young was not present. Vendor subject will be discussed more at the next meeting. Past VP Sandra Carnes offered to help Jeanette if necessary. 
  • Water Fountain at the Merchants Building at the fairgrounds. People asking wy it is not in working order. We don't know. It has been addressed with the fair board. They said they will 'look into it'. 
  • The board will continue to request improvements to the restrooms and showers & etc. 
  • Discussion on special ticket prices for visitors. It would be difficult and time consuming to police and sort out the 'full price attendees and the visitors'. It would not be fair to charge some full price to sit in the concert area and others less because they want to visit a friend or family. It was decided no reduced price visitors passes will be made available. 
  • Dennis Narker of the Kendallville News Sun sent a letter to NIBGA with suggestions on increasing local attendance to the festivals. Dennis touched on several different possibilities. Some we already do, others are possibilities to consider.

NIBGA Board minutes April 21, 2013

The meeting was called to order by President Jim Winger at 1:00 P.M.

  • The March Secretary report was sent via email to all officers on 3-22-13 No additions or corrections. Paul Saurborn motioned to accept. T.J. Collins seconded. All say yes. Motion carried. 
  • The March financials were emailed to all officers on  4-16-13. Reviewed by Treasurer Linda Winger. No additions or corrections. Motion to accept was made by Paul Saurborn. Seconded by Pam Keiper. All say yes. Motion carried.

INFORMATION ITEMS

  • Reminder of the 4-H Club Horse Show - May 17 - 19, 2013 at the Noble Co. Fairgrounds.
  • Mini Barn setup - Need all tables and chairs placed and secured on Sunday 5/19. Need security during the workshops and the B.U.G.  Friday 5/24.
    The supplies for Kids Korner will be placed in the Mini Barn on Sunday 5/19.
    Kids Korner will take place on Sat. 5/25. 
  • Avilla nursing home schedule. Friday 5/24. Band performing is Cumberland Gap. Paul Saurborn will escort the band to Avilla. Jim W. suggested someone take pictures and a short video to post on YouTube. Jenna Bacon will do
  • 50/50 drawing. Pam Keiper - chair. Order tickets. Sell tickets all week previous to Sat. 5/ 25 drawing. Drawing to be Sat. P.M. Time to be determined later. Who will sell tickets?  $1.00 each or 6 for $5.00. 
  • Jim & Linda Winger will attend a meeting with NCCFC bluegrass committee on April 24, 2013 @ 6:00 p.m. at the Extension Office in Albion, IN. 
  • Discussed - carry-in dinner plans for Sunday 5/19. Officers and other festival workers will have a carry-in luncheon and a meeting. 
  • Reminder to charge club radios in April. Report any problems to Jim Winger. 
  • Charlotte MI Festival has been bought by Wes Pittenger
  • Marshall, MI will happen on schedule per Jeremy Col.
  • Next newsletter will have a red line on un-renewed members.

OLD BUSINESS 

  • TABLED =  NCCFC contract not due until 2016 but 2014 rate is $12,500 and 2015 is $13,000. If 2013 is a loss, these rates need to be renegotiated. At 4/24 meeting, Jim will mention the need to consider rate change
  • Linda W. gave an  update on last months mailing to old members. Several newsletters came back due to no forwarding address but serveral old members did re-join.
  • Friday workshops at festival. Discussion. Chris Cooperrider - chair, will do a oral (show of hands) survey during the workshops to see who came just for the workshops, or who was there already for the entire festival. She will evaluate for future dates and times and study if the day and times should be changed. 
  • Vendors - Jeanette Young. Lions not coming but other group will set up in that building. They will be open 7 a.m. to 6 p.m. probably F/S/S only for breakfast & lunch. Other vendors will be Moose Lodge; a Mexican food stand; Open Kettle foods by Amish; Roasted nuts & Lemon shake-ups;  Saraha Grill - with chicken on a stick, pizza rolls, etc. Possibly few other vendors. Probably wood vendor. Jeanette will crate a newsletter note.
  • Band Scramble - Tonia Bacon -Chair; Sign up will be in the Merchants Building on Sat. 5/25.  Drawing for the bands will be at 2:40 p.m.. Results will be posted. A more detailed report will be in the next newsletter. 
  • Band hiring status; Joe Steiner; There is one more opening yet to fill for fall and Joe is awaiting a response.
  • Advertising update; Facebook  report by Joe Steiner. Google Music Stores (93), Media 238 - J.W. 

NEW BUSINESS

  • Advertising for Memorial Festival. Discussion - should we continue with the Wrap in the Kendallville paper? Cost probably $750. Other possibility - print our own. T.J. Collins motioned to print our own and not do the Wrap. Paul Saurborn seconded. Vote determined others were not in favor of printing our own and dropping the Wrap advertising. Motion Denied. We will continue with the Wrap for the spring festival. To be re-addressed for the fall wrap. 
  • Advertising continued: Backstage Permotions is in circulation, WAWK place mat is free. -DONE, WAWK Terry Thacker is back and will do a Thursday remote from the festival.  $30 for 1 minute ad on WAWK; Continue with internet advertising strategy.
  • Security; Short discussion. Stay aware of surroundings, and happenings. Paid Security will be present. 
  • Due to illness Robin Wenger could not join us today discussing commitment and responsibilities of being a grant recipient. Robin plans to attend the May 19th meeting. 
  • There will be a Wedding on Sat 5/ 25 on stage at the NIBGA festival. at supper break perhaps earlier if band scramble ends early. Sheri Thompson & Berry Markin. Harbortown is playing for the wedding. Joe will discuss with sound man. Belling? Golf Cart Parade? 
  • Announcer status. Joe Steiner will take care of scheduling. 
  • Summer 2013 newsletter mailings; June 16 @ festival - Pam Keiper, July 21 - Sue & Paul Saurborn, August 18 - Barbara Collins, September 15 - Joe Steiner

  • Secretary Report - Barbara Collins e-mailed to all officers Feb. 20, 2013. One addition was made by Jim Winger. The Festival T-shirt design was chosen at the Feb meeting. (Windmill design.)  Motion to accept by T.J. Collins. Paul Saurborn seconded. All say yes. Motion carried.
  • Treasurers Report - Linda Winger emailed the Feb report to all officers on Feb. 13, 2013. The Feb Financials were reviewed. Paul Saurborn motioned to accept. T.J. Collins seconded. All say yes. Motion carried.


INFORMATION ITEMS

  • Reminder: 4-H Club Horse Show, May 17-19, 2013
  • Security: same as 2012 except Fri. until 1 a.m. instead of midnight. Jim W. emailed their chair.
  • Port-a-jons: Ordered and verified. 
  • Address replacement is live. This month we are mailing to 365 former members asking them to renew. Working copies will be sent to Barb & Joe soon. 
  • Charlotte, MI festival will go on 2013. Charlotte was bought by Wes Pittenger. 
  • Marshall, Mi festival will happen on schedule per Jeremy Cole.

  • NCCFC contract not due until 2016 but 2014 rate is $12,500 and 2015 is $13,000. If 2013 is a loss, these rates need to be renegotiated - TABLED NO ACTION
  • Friday Workshops-Memorial week end. Update - Chris Cooperrider. One more has been added totaling 16 workshops. Chris will make up fliers. Chris will also make up a workshop description for the next newsletter. 
  • Band Scramble - Need detailed times for next newsletter. Those wishing to participate need to meet 1 hour before starting time (2:40 p.m.) to get their name in the drawing. $5 fee and perform 3 songs.  Band scramble will start at 3:40 p.m. on stage. Tonia Bacon will write up the article for the next newsletter. 
  • Joe Steiner - Joe reviewed the band listings and other items pertaining to the bands. All bands are hired for the Spring festival and almost all for Fall. Joe will give Jim & Linda a list of the band addresses so they can mail them festival fliers.
  • Research Grants - Jim Winger reports. Jim contacted Robin Wenger who writes grants for a living. Robin is Research Director for the City of Elkart. Mr. Wenger has consented to help NIBGA with searching for grants. 
  • Advertising strategy. Jim Winger talked about Facebook and Google. Officers discussed how each works. Adds on Google - $50. Adds on Facebook $100. It was decided to use Google. Paul Saurborn motioned to advertise with Google. Barbara Collins seconded. All say yes. Motion carried. 
  • 50-50 logistics. Pam Keiper - Chair. Order tickets. How many drawings? Who will sell? When to draw etc.. 
  • Vendor report - Jeanette Young. Jeanette has received 3 applications. She keeps getting request and reports from potential vendors. She will check with the Moose and Lions to confirm. She will check with the wood man but sure he will deliver again. 

NEW BUSINESS 

  • Advertising B.U.G. (Bluegrass Under Ground) Jade Bacon will post on Facebook, Twitter, and other social networks. B.U.G. is the After Hours Jam that will take place on Friday night of the festival after the stage show finishes.  
  • Mini Barn setup - Tables and chairs need to be set up on Sunday before festival. Kids Korner supplies will be set in and secured. Need security during workshops and B.U.G.  Clean up after B.U.G. before Kids Korner on Sat. a.m..
  • Review "TASK LIST for Fair board" at Bluegrass festival. 
  • TABLE: Decide on how late to keep the gate open on Friday P.M. of festival. How to handle the ones coming in for B.U.G.  Pam will decide on how early to open and how late to close. 
  • New 2013/2014 membership cards are available.

  • Secretary's Report - Barbara Collins: January minutes were emailed to officers Feb. 1, 2012. One addition was made by J. Winger. Motioned to approve by Paul Saurborn. Seconded by T.J. Collins. All say yes. Motion carried.
  • Treasurer's Report - Linda Winger: Financial report as of 1/31/13 was emailed to all officers on 2/13/13. The financial report was reviewed at the 2/17/13 meeting. Paul Saurborn motioned to accept. T.J. Collins seconded. All say yes. Motion carried. 
INFORMATION ITEMS
  • Reminder of the 4-H Club Horse Show; May 17 - 19, 2013
  • 501C3 Packet was passed around to officers to view by Pres. J. Winger.
  • Golf Carts for S-13 Festival are ordered.
  • Port-a-jons for S-13 Festival are ordered. 
  • 1099's forms for bands are complete. One was returned and correction was made. IRS form will be mailed next week. 
  • Sunday services are confirmed for 2013. Spring Devotional will be lead by Phil Rittner. Fall Devotions will be lead by Rick Schneider. 
  • Replacement for "Address". The club membership program is nearly complete. Will go live by next meeting. Working copies will be sent to Barb C. & Joe S. and anyone else who wants a copy.

  • Friday May 14, 2013 Workshops at Memorial festival. Update - Chris Cooperrider. There are 15 workshops confirmed. The list will be printed soon for public information. 
  • Band Scramble - Chair Tonia Bacon. The band scramble will be on Saturday May 25, 2013 for 1-1/2 hrs. Starting at 3:40 and going until supper break. Length depends on number of bands entered. The band scramble for Fall 2013 will also be before supper break. Will add to the schedule. $5.00 entry fee. $250.00 for winning band. 
  • Band hiring update - Joe Steiner reports all bands are hired for the S-13 festival. This was done under budget. Nursing home bands are confirmed for S-13 & F-13. Spring will be Cumberland Gap band. Fall will be Son's of Bluegrass possibly. Joe is continuing to finish the fall line up of bands. Will be done by Spring to make fliers available at the Spring festival.
  • Steve Klein sound man is confirmed for 2013 shows.  J.S reports. 
  • The After Hours "Bluegrass Underground" jam (BUG) with 'Dog 1'  will be Friday night May 24, 2013 starting after the last stage show. Approximately 10:30 p.m. Discussion on building it will be in was decided. All are welcomed to attend. 
  • Reviewed the Duplex flyer and band schedule. Few adjustments may be made. 
  • Festival guide is nearly done. Will be ready next month.  L. W. 
  • Research of Grants available through 501C3. No progress.

  •   ***There was one revision to the Band Hosting.  Bands will not be hosted this year unless a potential host family specifically request a band. At that time Chris Cooperrider will contact the band to see if that is acceptable with this band, and then the host family will be informed. Because of the lack of host families we will not be promoting this to bands this year.  Paul Saurborn motioned to accept the correction. Linda Winger seconded. All say yes. Motion carried. 
  • Treasurer Linda Winger emailed the November and December Financial statements to all officers on January 15, 2013. Financials were reviewed at the meeting. No additions or corrections.  Paul Saurborn motioned to accept. T.J. Collins seconded. All say yes. Motion carried.

INFORMATION ITEMS

  • Reminder: There will be a 4-H Club Horse Show at the Noble Co. Fairgrounds May 17, 18 & 19 -  2013. 
  • Tres. Linda W. states; The tents for both Spring 2013 and Fall 2013 are paid in full. By doing this pre-pay we get a discount. 
  • By becoming a 501C3 club there will be a change in the club charter. (J.W.) V. Pres. Joe Steiner covered details. 
  • 1099's for bands are due by January 31, 2013. (J.W.)
  • There have been many problems with the club computer Jim W. reports. All parts have been replaced at Jim W.'s expense.
  • TO DO:  Band Schedules:  Extend band times from 45 minute sets to 50 minute sets. (Includes set up time.) 
  • NIBGA 501C3 application was approved by the IRS and is effective March 2012

OLD BUSINESS
  • NCCFC contract not due until 2016, but 2014 rate is $12,500 and 2015 is $13,000. If 2013 is a loss, these rates need to be renegotiated. (J.W.)
  • Workshops planned for Spring festival. Chris Cooperrider hopes to have at least 15 workshops. Chris requested $100.00 for expenses.  Pam Keiper motioned to allow $100.00. Paul Saurborn seconded. All agree. Motion passed. 
  • A number of Workshops are being planned for all day Friday May 24, 2013. It is still to be determined how many sessions and locations. Tentatively the plans are to run 1-1/2 or 2 hr. classes consecutively, starting at 10:00 A.M. and ending at 6:00 P.M.. Tentatively planned are workshops in Bluegrass instrumentation, and "Roots of Bluegrass" instrumentation, including Bass*, Dobro*, Harmony singing*, Mandolin*, Auto-harp*, Harmonica*, Guitar* (2 levels), Dancing, Bluegrass Jamming, Old-time Jamming, Banjo, Mountain Dulcimer, and Fiddle.  *Means the workshop has been confirmed.  
  • 50/50 Drawing - Agreed to do but need a Chair person and organizer. Pam Keiper volunteered to chair this and get others to help her. Details to be decided later. 
  • Band Scramble for Spring 2013 festival: Tonia Bacon will Chair this. Jade Bacon will write up an article for the Newsletter. Details with day and time will be announced. 
  • Band hiring update - Joe Steiner. Some bands confirmed for 2013. Working on scheduling. Joe is within budget. Will set up a band to visit the nursing home during the festival. 

NEW BUSINESS

  • Golf Carts for festival: It is decided we will rent 11 total two seat carts for officers, security & maintenance man. Two larger ones for taxis, One cargo cart for Janitor Cheri. 
  • Green room - for Bands. Carol Bacon agreed to maintain again this year. 
  • Joe Steiner will be stage manager.
  • Merchandise/Membership table manager. Tonia Bacon and Jeanette Young. They will set their schedules. 
  • Taxi Management; Chris Cooperrider will sign up people and set schedules. 
  • Workshop Management: Chris Cooperrider Spring 2013. Dave Vogie Fall 2013.
  • Vendor Manager: Jeanette Young. 
  • Tee-Shirt design for 2013. Mark Schlutte has submitted some designs. If one of his is chosen we will decide colors later. If anyone has a design they would like to submit it will be considered by the board. Must be decided soon. 
  • Port-a-jons: There will be 6 set in before the festival begins. 
  • Security for festival 2013;  We will use the same and same schedule. 
  • Contracts for 2013 meetings to be signed with the Southwest Conservation Club, 5703 Bluffton Road, Fort Wayne, IN 46809.  Paul Saurborn motioned to sign. Joe Steiner seconded. All say yes. Motion carried.     Contracts signed. 
  • Confirm sound with Steve Klein for 2013.  Joe Steiner.

OLD BUSINESS 

  • 501C3 - President Jim Winger reports that the 501C3 reviews are up to November. It will be a few more months before they get to NIBGA's application.
  • Friday all day Workshops F13 - Chris Cooperrider suggest we use bands that would be at the festival for the workshops. Chris will prepare a budget for the workshops TABLE FOR JANUARY MEETING
  • Band Hosting -  The band hosting will not be promoted this year but allowed. Chris Cooperrider will make a list of bands wishing to be hosted and a list of those wanting to host a band. They will be matched up closer to the festival time. There will be no publicity re: band hosting.
  • Band Scramble - Tonia Bacon Chairperson; Tonia suggest a $5.00 entry fee per person for the band scramble participants.  Linda suggested giving each participant a NIBGA  Can Cozie. To be decided later. It is suggested the wining band get $250 prize money. Paul Saurborn motioned to give the winning band $250.00 prize money. Joe Steiner seconded. All say yes. Motion carried. 
  • Guitar raffle - Discussion. Would need a permit to run a raffle. It was decided to not do a instrument raffle since the income and expense is not easily determined. 
  • 50/50 drawing - Pam Keiper motioned to do a 50/50 drawing at the Spring 2013 Festival. Paul Saurborn seconded. All say yes. Motion carried.   TABLE - For January 2013. To work out details later.

NEW BUSINESS

  • Web Sites - BluegrassUSA.net site = 18,808 hits; Events page = 5,289; Web site Fee $135.00 per year; Peak day was Aug. 30, 2012 with 383 hits; May 24, 2012 was 101 hits; Average in summer was higher. Renewal of Evernote with annual fee of $45.00. Allows posting on web. 1, 849 hits last year. Barbara Collins motioned to renew the web site and Evernote. Joe Steiner seconded. All agree. Motion carried.
  • Golf Carts - The "NO GOLF CARTS"  at festivals policy was reviewed. It was reviewed why we can not afford to allow carts in the fairgrounds during the festival. For more information on this, see the Dec 12/Jan 13 NIBGA newsletter. It explains in detail 'why not'.  "We are a private function and have the right to disallow golf carts."  T J Collins motioned to continue the 'No Golf Cart' policy. Paul Saurborn seconded. All say yes. Motion carried.
  • Postage rate increase -  The postage rates will go up 1/27/13. US stamps go from .44 to .45. Canada goes up from .85 to $1.10. For mailing newsletters in the US it will cost the club $4.95 per year. (Plus printing newsletters) Canada's postage will cost $12.10 per year. Barbara Collins motioned for Treasurer Linda Winger to purchase 1,000 Forever stamps before the price increase.  Paul Saurborn seconded. All say yes. Motion carried.
  • 4-H Club Horse Show - May 17 -19, 2013 there will be a horse show at the Horse & Pony ring at the Noble Co. fairgrounds. They will use the horse ring and the Log Cabin. This is the week before the festival. The meters will not be read until after this event, May 20 instead of May 16. This will save us some on the utility bills. The horse show rigs will try to group together near the pony ring. NIBGA is invited to watch the show.
  • Tent Rental - Usually we get a 10% discount for early advance rental payment. Paul Saurborn motioned to pre-pay if we can. Barbara Collins seconded. All say yes. Motion carried.
  • Band Hiring - Band Chairman Joe Steiner has contacted some bands. He is working on the band line up for 2013 festivals.

NEW BUSINESS
  • November is election month. All officers accept for 2012/2013. 
  • Review of Labor Day financials including festival history report. Attendance has trended down. Expenses up. Review of comparison list years 2005 to 2012. NIBGA Festival History was reviewed. Review of Account Balances from 2005 to 2012. 
  • Discussions of; 
    • 2011 and 2012 festivals were a loss. What do we do to resume profitability?  
    • Obtain 501C3 status and apply for 2013 grants. Grants for 2013 are closed for the year or grants for events through June 30, 2013 are closed. Will have to wait until we are approved to apply for grants. 
    • Ways to increase attendance?
    • Reduce advertising - which kinds?
    • Reduce other expenses - which ones?
    • NCCFC contract coming up. Jim Winger will work on negotiating. 
    • Reduce utility expenses - HOW?
    • Reduce band budget? Have fewer bands, lower cost bands, or have fewer days of festival? Board chose to stay with the 4 days of music but will adjust bands schedules and include a band scramble.
  • Board set a budget at this time for the Band Chairman to use for 2013. Joe Steiner motioned. Pam Keiper seconded.  5 Yes - 1 No. Motion carried. 
  • Saturday Bands/shows will be  reduce from 7 to 6 and add band scramble. Two sets for each band. Joe Steiner motioned. Linda Winger seconded. All agree. Motion carried. 
  • Sunday shows - keep 6 bands. Pam Keiper motioned. T.J. Collins seconded. All agree. Motion carried. 
  • Discussion on Electric bill at Fairgrounds during the festivals. Because of increase in usage and increase in rates it has been decided we need to increase the charge for electric. T.J. Collins motioned to raise the electric charge from $5.00 to $10.00 per camping unit.  Pam Keiper seconded. All say yes. Motion carried.

  • Pres. Jim Winger reviewed NIBGA Festival History from May 2000 to May 2012. Each officer was given a spread sheet to read and follow along. 
  • Pres. Jim Winger reviewed the NIBGA Emergency Procedures:
    Subjects are: Vehicle Accident, Spill and Release, Lost Child or Person, Evacuation, Guidelines for Handling the Media in a Crises, Fire, Explosion and Bomb Threat, Nartural Disaster, Medical Emergencies, 
    List of Emergency phone numbers, Zone of Buildings numbered - Zone's 1 to 8. 
  • Portable stage rules. We are within guidelines. 
  • Paul Saurborn will do the September newsletter mailing.
NEW BUSINESS
  • Current attendance at the F12 festival is good as of today 
  • Merchandise/Membership table -- Jeanette Young and family will do Thursday 8/30 & Saturday 9/1. Tonia Bacon and family will do Friday 8/31 & Sunday 9/2.
  • Golf Carts - Added one cart for Tonia Bacon (merchandise table) and one 6 seater and one 4 seater for taxi use. 
  • Vendor Chairman Jeanette Young. Some of the vendors coming are 'Pizza by the Slice', Lemon Shake-Up, Ice Cream, Elephant Ears, Mexican foods, Harold Jones 'Jones Music', Instruments, Bake Sale, Pulled Pork, and possibly others. Wood will be $5.00 per bag and $2.00 per bundle. 
  • Band Hosting Program: 5 bands have host matched up and 3 more would like a Host but not signed to a family yet. 
  • Band Review: Joe Steiner. Bands are all set. Arrival times are fairly set. Parking spots are designated. 
  • Grounds: TJ Collins. Plenty of parking yet. Grounds are set and going fine. 
  • Gates: Pam Keiper. Our new Gate Captain Fred Hagel was introduced. Some time slots are filled as of now.
  • Taxis: Chris Cooperrider. Signs need put on the golf carts. Taxi dispatch station is at the Log Ice Cream stand. Need drivers. 
  • Kids Korner: Julie Goldsmith. Home Depot is donating craft supplies. 12 tables and 36 chairs needed for the Sat. 9/1 craft event. Julie would like to be set up on Monday 8/27. Need Volunteers.
  • Don Moore will be here today at 4:00 to distribute garbage cans. 
  • Meeting Thursday 8/30 at 1:30 at Wingers campsite. 
  • Barbara Collins asked for O.K. to purchase flowers for the stage. Approved.

  • Some folks are having problems with their radio and batteries. Jim W. will handle
  • Every band has a host family now. 
  • Lonesome Meadows will go to Avilla nursing home Friday at 2:00 PM
  • There are two new fans for the stage. They will be boxed back up and left on the stage after the shows. 
  • Linda Winger saw Mayor Handshoe at Scott's Grocery. She will be coming to the fairgrounds and on stage at 1:30 Saturday 9/1/12.

  • Street sweeping down the midway will be Thursday 9/1/11. 
  • Trash Pickup: We are charged for tonnage only on Thursday and Friday. Saturday and Sunday the cost is $60.00 each day. All pickup times are A.M. 
  • The Security systems in the log cabin and merchants building are off at this time. 
  • Honey wagon schedule: Wed PM RV only, Friday PM RV and Port-a-jons, Sat RV and Port-a-jons, Monday 7 AM RV only. Fee for service remains at $10.00.

  • Single point of contact between fair board and NIBGA is Jim Winger / Don Moore
  • Radio Inventory. To determine how many radios are in circulation and if everyone has the proper charger and or needs batteries. 
  • TABLE: Discussion on if we want to donate to Noble Co. fairgrounds to add some new electric on the track . Possible 8 circuits. One time $400. Permanent $1,500 -$2,000. Should we ask the Horse & Pony Club to share the expenses for electric in their area? Paul Saurborn motioned and TJ Collins seconded to discuss further. 
  • Emergency procedures handout & review – JW There was a lengthy review of necessary emergency procedures and how to set action in place if necessary. Suggestions on how to notify the crowd; announce from the stage and office intercom; set points of contact and gathering points; put person in charge of posting at important spots; emergency procedures are necessary for storm, accidents, chemical spills, child abduction, medical emergencies and more. The board will work on a solid plan over the winter.
  • NO ROPING off spots for anyone except Bands. The board will determine who gets a reserved band spot and where. 
  • Weekend tickets were passed out to all officers. 
  • Band bus parking. Joe Steiner needs one spot as of now. 
  • Bands and Host report – Chris Cooperrider. Need just a few host as of now. Maggie Bilby will set up a table in the merchandise tent for potential Host to sign up.
  • Pam Keiper has the band tickets for all bands to enter. Two tickets per band member and they need to sign in at the gate. (Joe S.)
  • The Stockdale Family band will be playing at Sacred Hearts home, Avilla , IN on Friday 9/2 at 2p. compliments of Northern Indiana Bluegrass Association. 
  • Announcers are: Thursday PM- Donnie Voiles; Friday PM -Terry Thacker; Saturday AM -Terri Grannis, Saturday PM – Donnie Voiles; Sunday AM - Terry Thacker; Sunday afternoon and evening – Chris Vogie.

  • T.J. Collins – Grounds: Reports things are going well now. Handicap roped off, plenty of camping room.

  • Need 7 tables, no chairs in tent. Need racks & hangers from the stage storage on Thursday 9/1. 
  • Jeanette Young – Vendor Chair. No bake sale group has been found. All regular food vendors from spring are returning. This will be Tim's last festival here for selling strings. The wood vendor will be coming in. Ice Cream wagon –yes. It was suggested to offer Harold Jones to sell instrument strings when Tim no longer does. 
  • Taxi sign up list at small log cabin and gate areas. Taxi dispatch 260-302-1555 – Chris C. 
  • Sheriff schedules are same as in the spring. They need a cart and radio, Jim will provide.
  • The board and chairs are to be on stage for introduction at 2:15 PM Saturday 9/3/11.
  • Jim and Linda's phones have been reported to 911 as an emergency contact. Generally use Linda for 911. 
  • Leave radios on at all times until bedtime. 
  • Requested that all officers report when they are leaving the grounds and when we return. 
  • Thursday there will be a short reporting meeting at 1:00p.m. at Winger's campsite.

    • NIBGA taxes due in May. Will be filed by Pres. Jim Winger
    • Sunday, May 15, 2011 on WFWA/PBS (Ft. Wayne station) there will be a show. Taping will be May 12. 
    • Backstage newsletter - Linda will contact Jim Egoff to see if we can have some to distribute. 
    OLD BUSINESS
    • 501c3 investigation - Chris C. update - Reports she is waiting on information and 'Do It Yourself'  forms to get on line. Consideration - Have a special event to attract a quorum, drawing? Band? Etc.? to change by-laws. Consideration: Have a drawing for both cash and other prizes to encourage attendance at jams. Can just come to listen or play and have a chance to win a prize. Point out it is a free event. Find out rules and possibilities for Proxy voting. 1/3 have to be present to vote any changes. Note to Dwight Worden, IBMA Assoc. rep, regarding options, awaiting response. 
    • Band update - need to know about buses - How many? What electrical needs will they have? Band Chair - Joe Steiner reports there will be no buses needing electric as far as he knows. 
    • Workshop status: Chris C. There will be 13 different workshops. Tickets for workshop directors will be at the gate. Must sign in. They will be week end tickets.  Bull Harmon workshop - will be in the Log Cabin. Others will be in the Mini Barn, Open barn - Swine Barn, one other in the Log Cabin also. *Chris C. and *Linda W. will make workshop posters. *Chris C. will let officers know how many chairs she will need and where they are needed for workshops. 
    • Advertising: Pres. Jim Winger is taking care of advertising for the Memorial Day festival. There will be a NIBGA add on placemats at 2 Ft. Wayne restaurants. (Liberty Dinner & Keliah's) Advertising in Kendallville News Sun. Paid $735. Radio - We will commit per last months board meeting. Multiple spots available, Joe & Chris,: Wayne Taylor: HillBenders.   (Not sure what this was about) 
    • IBMA 2011 - Should we attend? If so - who? Rooms & meals around $2,300, tickets around $1,600 Options: No one go; Just Joe Steiner go; Joe Steiner & Chris Cooperrider go; or Joe, Chris, Jim & Linda Winger go. There are benefits in a NIBGA presents at the International Bluegrass Music Association Convention. TABLE: for May 22 meeting. Must be decided soon. 
    • Consideration: Collect e-mail address from attendees - pending until after festival. 
    NEW BUSINESS
    • NIBGA received a recommendation for a young man named Jonathan Demers for a music Scholarship. Jonathan has played mandolin and guitar and provided harmony vocals with Amy Gallatin & Stillwaters for nearly 3 years. Jonathan has applied personally for a Scholarship from NIBGA.

      Jonathan has auditioned and been accepted to Berklee Collage of Music in Boston, MA. He also has a background in music because of his father, Paternal Grandfather  and Paternal Grandmother who are/were all involved in music and bands. Jonathan's desire to further develop his music training and skills is sincere.  His need for financial help is significant. His desire to train at Burklee is strong. After the board looked at his need and qualifications Joe Steiner motioned to award Jonathan Demers a Scholarship for $500.00. Linda Winger second. All approve. Motion Carried.

      Secretary Barbara Collins will write a letter of acceptance to Jonathan.
    • Suzuki class will perform at the Spring festival. Linda Winger reviewed the procedures for their tickets for entering the gate. There will be a list of qualified members to sign in for their tickets. 
    • Linda Winger showed her final draft for the Spring/Fall 2011 T-Shirt design. The design was approved.
    • Chris Cooperrider reported that all bands that wanted hosted have been assigned and notified. All is set to go.

    • Minutes of the January meeting were e-mailed to each officer by Sect. Barb Collins on Monday January 17, 2011; Paul Saurborn motioned to accept the minutes. T.J. Collins second. All approve. Motion carried.
    • January Financial Report was e-mailed to each officer by Treasurer Linda Winger on February 16, 2011. The report was reviewed at the meeting; Joe Steiner motioned to accept the Treasurers report. Paul Saurborn second. All approve. Motion carried.


                                                          INFORMATION ITEMS

    • The 1099s were mailed to bands in January.
    • 1099 forms were sent to IRS on Saturday 2/19/11
    • NIBGA taxes are due in May. They will be done on time.


                                                              OLD BUSINESS

    • 503c3 investigation. Chris Cooperrider reports she is waiting for the IRS software to become available. 
    • Joe Steiner reports. The Electrical problem at the gate area has been resolved. 
    • Joe Steiner - V. Pres/Band chairman has completed the hiring of the bands for Spring and Fall 2011 for the N festivals. A list was given to each officer. Joe has been able to stay under budget again. Good job Joe! This job is very time consuming and we appreciate Joe's talent and time it takes to contact and contract bands. 
    • Chris Cooperrider has been working on plans for festival workshops. Bull Harmon will be doing an four hour guitar workshop. Chris will be working up a list for the scheduling of all workshops. Some to be planned are: harmonica, mountain dulcimer, bass, clogging, & jamming. And hopefully: workshops for mandolin, dobro, fiddle, banjo, song-writing, and harmony singing can be set up.   Chris will have more information for the March meeting and the April newsletter. This information will go on the NIBGA WEB and Blog. 
    • Chris purposed that the people directing workshops will get two weekend tickets. She suggested that jamming workshops be early in the weekend to free up people on Saturday to watch the stage shows. All but the guitar workshops will be free with a festival ticket.  
    • Paul Saurborn motions to charge $25 for the four hour Bull Harmon workshop. Joe Steiner second. All approve. Motion carried.
    • Paul Saurborn motioned we pay up to 6 additional instructors, $50.00 each, for workshops. Joe Steiner second. All approved. Motion carried.
    • Discussed and approved.  An Open House crafting session will take place on Wednesday May 25 in the Log Cabin, from 1:00 to 5:00 p.m. Each person will bring their own craft project to do. Craft and Chat session, a good way to spend time and meet new people and share your talents. 
    • Jeanette Young reported on Vendors up to this point. The lemon shake-up people are interested in setting up a Leather goods booth. This will be charged a normal fee.  Jeanette is talking to several people trying to find a group that will do a Bake Sale at the festival. A man from Nashville has inquired about setting up a booth to sell his handmade (USA made). 
    • Advertising: Jim Winger reports on all the possibilities he has investigated and inquired about. Some are possibilities for us and several not. Some possibilities are NCCVB rack cards in welcoming centers (Visitors Centers), & radio stations.  Good places to advertise will be WAWK Kendallville, WFGA "Froggie" Auburn, and a maybe a Coldwater or southern border Michigan station. Jim will continue to work on these.  Barbara Collins motions we advertise with three radio stations. Pam Keiper seconds. All approve. Motion carried. 
    • Facebook - Nathen Gerkin has contacted bands to "like" Tri-State page. 
    • Joe Steiner suggest asking Bands to cross link with NIBGA on the WEB
    • Collect e-mail addresses from attendees that would like to receive notices and information via-email. Not decided.

    10/17/2010 NIBGA board meeting minutes

    The meeting was called to order by President Jim Winger at 1:00 P.M.

    • The minutes of the last meeting were e-mailed by Sect Barbara Collins on September 8th, 2010. Paul Saurborn motioned to accept the minutes as read. T.J. Collins second. All approve. Motion carried.
    • Treasurer Linda Winger e-mailed the August and September Financial  reports to the officers. It was reviewed at the meeting. Pam Keiper motioned to accept. Paul Saurborn second. All approved. Motion carried.
    • There was a review of the Fall 2010 Festival Income and Expenses. Tres. Linda Winger handed each officer a copy of the Preliminary report (as of 10/15/10).   No action needed.
    • Pres. Jim Winger gave each officer a copy of ‘Attendance and Income History. This is a history of May 2000 to Sept 2010. Covers = Weekend tickets sold, Electric sold, Friday/Saturday/Sunday daily tickets sold, Income, Expenses, Net Profit, % Profile, # of people total attendance. And a notation of the weather at each festival.
    • Question- Why did we only make $10,000.00? Down about 700 people. Didn’t loose money. How can we increase attendance? This will be discussed later as the meetings go on through the winter. 


    INFORMATION ITEM
          The Northern Indiana Bluegrass Association’s contract for 2010/2011 with South West Conservation Club has been signed and paid as of 10/17/10.  This is where the meetings for Oct., Nov., Jan., Feb., March and April are held. The Jamming is open to all beginning about noon until 6:00 P.M. the third Sunday of each month of the meetings.

    OLD BUSINESS
    • International Bluegrass Music Association Convention reports by: Jim Winger, Chris Cooperrider, Joe Steiner & Linda Winger. Each gave a report of the events of the week, seminars they attended, what they learned and observed. Many bands were watched for possible entertainment for Kendallville festivals 2011. 
    • Consideration of possibility of workshops with Bull Harmon in 2011
    • NIBGA as an IBMA sponsor at the 2010 Convention in Nashville in early October. Report from Joe Steiner. NIBGA gained much attention and feel the sponsorship was worth while. 
    • The Danny Bryant (limb on truck) accident was discussed. It will be taken care of by fairgrounds insurance
    • 501c3 investigation will be continued by Pres. Jim Winger. Priority for this winter.


                                                                       NEW BUSINESS     
    Board Officers for 2010/2011.  
    • All officers have agreed to continue in their offices. Officers will be same as 2009/2010 except for the resignation of Joe Wyandt. Joe resigned due to health problems. His position will not be filled. The officers agreed to continue with 7 officers. All other volunteer help is welcomed and appreciated. 
    • A band list composed by V. Pres./Band Chairman Joe Steiner was reviewed. These are bands being considered for the 2011 Festival season. 
    • Band Budget was discussed. In 2010 Band Chair Joe S. did not use the entire budget allowed. Paul Saurborn motioned to set the 2011 Band Budget again at $30,000.00 cap per festival.. T.J Collins second the motion. All approve. Motion carried. 
    • An email from a man at the festival mentioned the electrical problems close to his camper. The electrical repairs are considered fixed. Joe S. will contact the man on the subject. 


    Reviewed;  
    • Taxis – Will look at the problem with the 6 seat golf cart the drivers had at F10.
    • Golf Carts for officers and Gate Captains. Will use the same amount as this year for the next festival. 
    • Port-a-jons – Will order 7. Same amount as 2010. 
    • Security – Will continue with the same hours on Thursday, Friday & Saturday. 
    • Vendors – Jeanette Young Vendor Chair said some backed out because of lack of sales. It was agreed that there were enough food vendors. Discussion on what type of vendors would be successful at our Bluegrass festivals. Jim Winger gave a suggestion on ways to generate business for the vendors. 
    • TABLE: Need discussion and decisions on wood vendors.  And -  how to attract new vendors. 
    • Bass vendor said he didn’t sell any Basses. 
    • TABLE for November: /Advertising for 2011, Find economical ways to advertise to the public. 
         T-Shirt project; Linda Winger is working on a project of gathering all the T-shirt designs that NIBGA has ever had. She will capture all the designs and post them on the web. Anyone having a shirt with a design prior to 1991 is encouraged to contact Linda. She has the ones from that date on to 2010. Suggestions are welcomed for the 2011 T-Shirt design.
         Dues renewal will be reduced starting now until April 30, 2011. The 2010/2011 membership will be $5.00 per single membership & $7.00 for family. The new 2011/2012 membership will begin May 1, 2011 and return to 10.00 per single membership and $15.00 for a family.  You will receive a membership card to carry and a newsletter each month of your membership (except Dec.)  Apply at NIBGA, 5034 Wapiti Court, Fort Wayne, IN. 46804-4946 (260) 918-4790 or Secretary Barbara Collins, 6731 State Road 8, Butler, IN 46721

    After the Officers, Gate Captains, and other chair persons shared a Carry-In lunch the meeting was called to order by President Jim Winger.

    April Treasurers report: No report sent. No report available until Thursday 5/27.  No action required at this time.

    INFORMATION ITEMS
    • Billboard advertising postponed until fall 2010
    • There is a new 80 gallon hot water heater in the women's RR at the Log cabin in addition to the 40 gallon mens.
    OLD BUSINESS
    • T.J. Collins: Port-a-jons. Review use and requirements for 2010 with Terry from Taylor Rental.
    • Jim Winger: No change in the 501c3 investigation.
    • Joe Steiner: Dan Hayes has NIBGA on the list for showcase sponsors for World of Bluegrass Convention in Nashville, Tennessee – fall 2010. There will possibly be no Awards Luncheon showcase this year.
    • Possibly we will have a 5 year contract with Noble Co. Fair Board instead of the original suggested 3 year. This would cover 2011-2013. New contract available, not reviewed.
    • Table until Fall: Extended workshops. Chris Cooperrider.
    • Northern Indiana Bluegrass Association taxes have been filed. Leslie Ellis reports and she will investigate Indiana tax filing.
    • Chris C. – Band Host Chair: Reports she needs 3 Band Host yet at this time. ( A couple more were pared up later after this meeting.)
    • West Bound Rangers will perform at the Avilla Nursing Home @ 2:00 . Paul will take them. (Chris C., Joe S., Tonia B. went along also.)
    • Mosquito spraying will be done at the Noble Co. Fair Grounds on Wed. p.m. or Thurs. a.m.. Paid for by Northern Indiana Bluegrass Association and sprayed by the fair board. (The spraying was done at 3:00 p.m. on Wednesday 5/26/10.)
    • Notify band that there will be two tickets per member at the gate. They need to sign for their tickets. Joe Steiner- band chairman.
    • Joe Steiner motioned to tell the Fair Board that we are not interested in donating to the Electronic sign board at this time. Paul Saurborn second. All agreed. Motion carried.
    • The 50 amp cable that the electrican installed in the past won't be needed. NIBGA will store it and install in the future.  Joe Wyandt.
    • Vendors update: Jeanette Young: Several are coming. Jeanette gave a list of those agreeing to come. Others are expected to show up.
    • Campers are allowed to set up a Garage Sale at their camping spot until noon Friday 5/28. No vendors fee charge. No garage sales after that time and date.
    • Chris Cooperrider needs 3 club radios for the taxi drivers.
    • 5 gate captains will share 3 golf carts. Leslie E., Al E., Patty P., Jan M., & Dave S..
    • Security – one golf cart
    • Cleaning/Cheri – one utility cart
    • One 4 seat taxi
    • One 6 seat taxi
    • Remaining are for officers and taxi use.
    • Security will be on the grounds:   Thursday 4:PM - 11:PM, Friday 6:PM - 12:PM, Saturday 11:AM – 12:PM
    • Vern Tyree will be heading the Guitar workshop Sat. 5/29. All workshops are scheduled.
    NEW BUSINESS
    • If there are any Fair grounds problems, the contact person is Jim Winger who will contact Don Moore.
    • Linda Winger shared letters to the club. There was a letter with a donation of $60.00 from Carl &  Marilyn Bryant in memory of 'Roger Schultz'. This is earmarked for the Kids Korner.
    • The O'Bryan's from Kentucky sent a extra $10 with their membership for a donation also earmarked for the Kids craft Korner. This kindness is so much appreciated to help the club with it's craft activities for the kids.
    • A little boy from Wilmington, Ohio wrote a very nice letter about his interest in Bluegrass music. Linda read the letter to those at the meeting. She sent him a package filled with Bluegrass information such as 'The History of Bluegrass', Fliers, a CD, and a DVD. and a note thanking him for his interest in Bluegrass.
    • Linda W. reports: The 2010 new merchandise came with the new design on the front but no LOGO on the back. It had to be sent back to be added on. Hoodies are alright. The merchandise will be delivered to the fairgrounds on Monday 5/24. After that, inventory will be done to prepare for the festival sales.
    • There was one out-of-state bad check from the last festival. It will be posted at the gate.
    • The newsletter mailing schedule was reviewed; May – Sandy Carnes, June – Barbara Collins, July – Ellis family,  August – Paul Saurborn, September – Joe Wyandt
    • A new security system has been installed in the Log Cabin  & Merchants Building. New keys will be marked. The merchants building can not be occupied without alarms or fire spotters.
    • The EMS building will be moved in July to the handicap area close to the entrance.
    • Julie G. reports: Suzuki to be on stage at 1:40 p.m. Saturday. All have letters and are to receive a ticket when they arrive at the gate. They will be with a parent. Put a sticker on their vehicle. They will need tables to set their instruments on before the performance.
    • Board & Chairpersons: Line up behind the stage at 1:25. Go on stage for introduction at 1:30, Saturday 5/29.
    • The back half of the track is very soft. Do not let anyone park on the track. T.J.Collins and Joe Wyandt will barricade to prevent campers getting stuck. (Done) It is O.K. to use the West side for parking.
    • Linda's phone is registered with 911 for emergency contact. Hopefully it will shorten the response time if needed.
    • Craft class will be Friday at 11:00 a.m. / 1:30 p.m. with Sandy Tedford in the Log Cabin.
    • White Elephant Bingo is Friday at 3:30 p.m. in the Log Cabin with Sandy Tedford.
    • There have been complaints of dogs bothering people. Jim will look into it.
    • Insurance Issue: Our Insurance will be canceled if we have an incident with others using golf carts.                                      
    • Discussion on Handicap transportation. What kinds of motorized bikes, carts so forth to allow?

    • Leslie Ellis not here Wednesday. Taking Nikki to school each morning.
    • Al Ellis here evenings. Working days.
    • Barb Collins gone Tues. 12p.m. – 10p.m.; Wed. same. Sunday p.m. 2:30/6:30.
    • Joe Wyandt & T.J. Collins here the full time.
    • Patty Page leaving today, back Friday p.m.
    • George Page, Paul Saurborn, Jan Mead, Jim Winger here the rest of the time. (Some will need to go out for just short times during the week)
      There will be a short meeting at the Winger's camp site on Thursday 527 at 1p to review festival status..
