OLD BUSINESS:
TABLE ~ Port-a-jons. Review use and requirements for 2010 - TJ will follow up with 2009 usage

501c3 has cost $1,000.00 in the past for a lawyer to do. We can file now and when the on-line program becomes available the Information will be already filed. Software will become available soon. Chris Cooperrider has agreed to assist.

Northern Indiana Bluegrass Association is still considering becoming a International Bluegrass Music Association sponsor for 2010 World Convention in Nashville. Joe Steiner continues to work on the arrangements. The NIBGA board has appropriated a budget for this. The NIBGA board feels this will be good advertisement for our club and give NIBGA good exposure and draw more good bands for our festivals. If we become a sponsor we will not have a showcase room in the basement of the convention center.

Don Moore – Pres of the NCCFB presented to his board our request for a 4 year contract. The fair board only agreed to a 3 year contract.

Paul Saurborn motioned we accept the 3 year contract. T.J. Collins second. All agreed. Motion carried.

TABLE – Exceptions for sleeping in the barns. No update. No response from Fair board Pres. Don Moore. There has been a second request.

T-Shirt designs. No design has been decided yet. Must be decided by March meeting. We still need suggestions for the shirt design for 2010.

Chris Cooperrider reported on her ideas on Extended Workshops for the NIBGA festival week. Considering possibilities beyond just the Saturday workshops. Suggestions: A band camp or workshops the week end before the festival. Chris will be talking with a man willing to help. Chris will put together a Activity Committee for doing games with children who are on the grounds before the festival. Volunteers are needed.

Paul Saurborn motioned to do workshops the week end before the festival. Joe Steiner second. All approved. Motion carried.

Chris Cooperrider checked on billboard prices, and poster prices. Nothing decided on that.

Joe Steiner gave a detailed updated report on bands. He plans to have all the bands hired and a schedule completed by the March meeting. Pres. Jim Winger asked Joe to have a complete list to him by March 12. The fliers will need to be printed and circulated soon.

Auditing Report. Joe Steiner. Most everything is recorded correctly. Only a few adjustments suggested. Suggestion/Request – Make a Asset list. Each officer is asked to help put together an inventory list. (Collins will do the stage) All gate tickets need to be documented at the beginning and ending of the festival times to check for any discrepancies. Merchandise inventory will be documented as Advertisement. Sales as income. A second verification of all financials will be done by V.P Joe Steiner.

TABLE – Electronic sign being considered by Noble Co. fair board, NIBGA contribution tabled until new contract resolved.

NEW BUSINESS:
There is a new Noble County Convention Bureau Executive director. John Bry has many ideas and wants to participate. Maybe he will help with out of county advertising as Sandra Carnes suggested. Jim will pursue.

Three host have been found for bands at the festivals. Now we would like to pair up more host and bands. If you would like to host a band for a meal or just relaxing conversation, let the board know.

There will be 2 tickets for each band member at the gate. They will need to sign for their tickets. Joe Steiner.

Noble County has the second highest jobless rate in the state of Indiana. Municipal budgets reflect that. One of the cuts will be mosquito spraying. The NIBGA officers will be deciding how to deal with this at the fairgrounds. Should we offer to pay for spraying during the festivals? Pres. Jim Winger will check into the cost and report back. A decision will be made before the festival.

There will be at least one band going to a nursing home during the festival. The residents appreciate it and enjoy is very much.

TABLE – Discuss in March – Possibility of a band or Jam at the Coffee Bearer in Auburn the week before Labor Day festival.

Approval of Expenses:
Joe Steiner motioned to adjourn at 3:15 P.M. Paul Saurborn second.

Secretary – Barbara Collins
